Director of Finance and Operations

Director of Finance and Operations

Full Time Position

FLSA Status: Exempt 

 

The Director of Finance and Operations is responsible for overseeing the finances and operations of Remy Bumppo, ensuring that the fiscal management and logistics of the organization run efficiently and effectively. 

 

The Director of Finance and Operations reports to the Executive Director, working in partnership to realize the fiscal and operational objectives of the organization and serves as a trusted advisor to management  on best practices regarding financial management, budgeting, risk management, employment practices, and operational policies.  The Director of Finance and Operations also serves as the de facto IT manager for the organization. 

 

The essential duties and responsibilities of the Director of Finance and Operations are listed below.

 

Management 

  • Recommend hiring of staff for positions in Finance and Operations.
  • Supervise, train and evaluate all staff members of Finance and Operations.
  • Confer with Human Resource Specialists and Executive Director on hiring decisions,  disciplinary action and terminations.
  • Work with management and new staff members to provide clear, functional explanation of financial controls, policies and procedures.

 

Financial Management 

  • Oversee the day to day financial operations of the organization, including: Accounts Receivable/Accounts Payable, Payroll, Contract management, Bookkeeping and accounting, Account reconciliation and Create financial reports.
      • Manage final allocation of all budget line items  
      • Oversee all aspects of compliance related to accounting and finance.
  • Manage all organizational accounts at various financial institutions.
    •   Lead and coordinate the annual budgeting process, including: 
      • Creation of budget database documents 
      • Forecast budgets and cash flow, collaborate with department heads 
      • Collaborate on the evaluation of the financial capacity of realizing programmatic plans and objectives 
  • Management Reporting 
      • Serve as staff liaison to the Finance Committee, providing support to the Board Treasurer on reporting, administration, and agenda planning
      • Provide regular financial reports to organization’s leadership with explanations and/or analysis as appropriate.
      • Works in collaboration with Strategic Planning Committees on creation and implementation of strategic budgets that accompany approved strategic plans
    • Oversee the annual independent audit, including:
      • Act as the liaison between the independent audit firm and the organization 
      • Collect and create all necessary documentation for the audit process 
      • Manage audit and tax form schedules, ensuring all deadlines are met
      • Evaluate the independent audit firm’s performance in collaboration with the Executive Director and Board Treasurer, lead the search for a new firm as needed
    • Evaluate and assess financial processes
      • Review current systems and procedures, develop new ones as needed to maximize efficiency and user experience
  • Write and update all Internal Control and financial policies, ensuring that all controls and processes are documented.  Assist Executive Director with obtaining Board approval required for revisions to Internal Controls and financial policies.
  • Monitor adherence to Internal Controls and financial policies.  Advise appropriate managers of any concerns or issues identified.

 

Operations 

  • Oversee day to day operations, including:
    • Manage the organization’s office, including: 
      • Act as the primary point of contact for facilities related situations 
      • Ensure efficient and effective use of the office
      • Manage purchasing for office related equipment and supplies 
    • In collaboration with the Production Department  and/or Program staff, manage the organization’s rehearsal room.  Work with Production/Program staff to:
      • Develop and implement an operational strategy and schedule for the rehearsal room for all non-mainstage function use 
      • Ensure functionality and security of the infrastructure and non-production related equipment of the rehearsal room 
      • Create and manage a rental and external use plan for the rehearsal room, including budgets, projections, and priorities that reflect the company’s commitment to supporting Remy Bumppo values and strategic plan.
      • Act as the primary point of contact for rentals, external use of the rehearsal room, and facility related matters
      • Collaborate with program staff on the the sale or lending of all rehearsal room related costumes, properties, and equipment, maintaining a complete record of inventory and sales in partnership with the Production Manager
  • Manage the organization’s insurance policies, business permits, licenses and registrations. 
  • Provide oversight of the organization’s administrative, facilities, and management vendor relationships
    • Ensure successful delivery of goods and services.
    • Review and negotiate the organization’s contracts as needed 
  • Evaluate and maintain the organization’s technology and information security. Oversee purchase and maintenance of computers, phones, network, and other operational  equipment 

 

Policy and Procedures

  • Evaluate operational processes, critically assessing current systems and developing new systems as needed that maximize efficiency and user experience.
  • In collaboration with the Executive Director and Human Resource team,  develop and implement human resources and operational policies that highlight the organization’s commitment to transparency and IDEA initiatives.
  • Serve as the primary point of contact on policy-related matters; explain policies and finance procedures to ensure understanding.  

 

Required Skills and Abilities

  • Working knowledge of applicable financial practices and procedures, as well as a thorough understanding of internal controls and state and federal rules and regulations.  
  • Proficient with accounting software and standard office and accounting equipment.
  • Ability to maintain confidentiality of sensitive, organizational information. 
  • Multi-tasker, able to manage multiple projects/assignments simultaneously; time management expertise 
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail. 
  • Strong business acumen and analytical abilities.
  • Excellent managerial skills and ability to evaluate the work of others.
  • Working knowledge of basic IT systems.  

 

Education and Experience 

  • Bachelor’s degree or equivalent work experience in Accounting, Finance or related field.
  • Managerial experience in nonprofit organization,  finance and accounting or related field 
  • Managerial experience in operations, facility management and/or office administration
  • Interest in Performing Arts

Compensation and Benefits

  • Annual compensation is $50,000

Full-time.  Some evening and weekend work.

The Development Manager works with the Executive Director, Artistic Director, and Board of Directors to generate contributed income from a variety of sources including individuals, foundations, corporations, government agencies and special events, and to cultivate prospective donors and funders to ensure the stability and longevity of Remy Bumppo.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Manage the creation and execution of fundraising campaigns as they relate to individuals, foundations, corporations, government agencies and special events. Closely monitor activities and timelines and collaborate with all areas of the company to ensure effectiveness.
  • Ensure appropriate recognition and stewardship of donors of all levels, from small donations to major gifts.   
  • Plan, implement, and track three direct mail campaigns annually. 
  • Properly and promptly process, record and acknowledge all donations.
  • Manage Remy Bumppo’s Annual Benefit, including supporting the Benefit Committee, tracking event budget, monitoring progress toward income goals, managing development of all collateral including invitation and signage, maintaining communication and contracts with vendors, and overseeing the solicitation and organization of raffle, silent and live auction. 
  • Oversee Remy Bumppo’s other donor cultivation, donor recognition, and minor fundraising events throughout the season. 
  • Write grant applications, develop collateral materials, manage deadlines for proposals and reports. Assist the Executive Director in the facilitation of relationships with institutional funders and identification of new funding opportunities. 
  • Assist the Executive Director in the identification, cultivation, solicitation, and stewardship of Major Donors. Research prospects and assist in the development of strategies, consult with the Board of Directors and staff leadership as needed. 
  • Act as trusted resource for the Board of Directors. In partnership with Executive Director, provide concise, accurate reporting on fundraising initiatives, and help Board members create and manage their individual cultivation, solicitation and stewardship plans. Serve as staff liaison to Development Committee.
  • Provide general institutional support. Collaborate with Director of Marketing and Communications to ensure that all messaging is on brand and that patron cultivation and communication efforts are coordinated. Collaborate with Director of Finance and Operations on budget development, financial tracking, event logistics, and volunteer management. Collaborate with Artistic Staff To develop mission-based support materials and events.
  • Engage and supervise development and/or special event intern(s).
  • Other duties as assigned. All staff members support Remy Bumppo’s work at large, including participation as needed at productions and events on evenings and weekends and within regularly scheduled work hours, on and off-site.

 

The Development Manager reports to the Executive Director.

 

QUALIFICATIONS

Remy Bumppo seeks a creative, organized individual who is able to work independently and participate effectively in a collaborative work environment. The ideal candidate will be a highly motivated self-starter who finds developing meaningful relationships rewarding.

Candidates must have:

  • Three years (or equivalent) training or relevant experience in fundraising or customer service.
  • High proficiency with Microsoft Office Suite, especially Excel and Word.
  • Experience with a CRM or fundraising database.
  • Excellent project management skills.
  • Strong communication, follow up, and relationship-building skills.
  • The ability to provide a superior level of customer service.
  • Availability to work occasional evenings and weekends. 
  • Affinity for the performing arts is a plus.

 

COMPENSATION AND BENEFITS

  • Annual compensation is $44,000
